Oversees and manages all staff responsibilities to include maintaining a positive atmosphere with all staff as well as a positive relationship with supervisors and owners. Ensures privacy of all employee files, oversees leasing activity and ensures all files are being submitted to compliance in a timely manner. Oversees move-out activity, work orders, collections, delinquency, physical condition of property, budget variance, renewal and NOI paperwork. Responsible for general market activity, marketing, recommends specials and rental rates, reviewing of all marketing sources, curb appeal, maintaining of property binders, and scheduling of weekly staff/monthly safety meetings. Responsible for personnel issues to include the hiring and termination process. Completes annual performance reviews/performance feedback.
Ensures educational training and certifications are completed and updated. Processes and approves payroll. Reports any on-site staff injuries. Documents verbal and written employee counseling sessions and enforces the company policies and procedures to include absenteeism, tardiness, and dress code. Meets daily with the Maintenance Director to review the make-ready board and assignments for maintenance staff.
Walks vacant units, with Maintenance Director, on a monthly basis to ensure there are no maintenance emergencies and ensures all smoke detectors work properly. Coordinates with Maintenance Director to prepare the property for walks and visits to include TDHCA, REAC and Lender walks. Walks 100% of all units at least once per calendar year to ensure residents are complying with community policies. Completes and documents, with Maintenance Director, monthly exterior inspection of the property to ensure physical condition of property is being maintained. Ensures work orders are being generated. Oversees the financial obligations of the community by assisting the Property Supervisor in the formulation of the calendar year budget and staying within the established budget, ensuring all rents are collected daily and bank deposits are reported to the corporate office on a daily basis. Assists with evictions, ensures utility cut-offs as required on delinquent rents, and communicates with vendors/contractors concerning work scheduling, billing, vendor relations, and certificates of insurance. Approves and submits all invoices to corporate for payment, codes all bills weekly and ensures the Assistant Community Director completes all required tasks prior to pick-up. Reviews Yardi dashboard to ensure financial reporting is completed. Ensures completion of monthly and/or weekly reports requested by the Property Supervisor. Ensures property month end packet for Accounting/Compliance is completed and signed for approval by the 2nd business day of the month. Reconciles petty cash. Manages resident retention activities to include implementing regulatory resident service activities which must include a sign-in sheet and pictures to ensure proof services were provided. Responds to resident concerns in a timely manner such as phone calls and resident visits to office, documents and reports property incidents, reviews all resident correspondence which includes notices and letters, and reports all fair housing complaints or requests for accommodations to the Property Supervisor.
Answers and responds to after hour calls and emergencies. Performs additional duties deemed necessary by the Property Supervisor.
